Management Dashboard – Discrepancies
Overview
This page tracks known data-quality issues in the Status field that feeds the "Matters in Court" / SOC bucket logic documented in Management Dashboard SOC. The bucketing there only recognises a fixed list of exact status values — anything outside that list silently falls into the "Others" bucket, or in some cases isn't excluded from the panel at all.
Each item below is a specific question raised during that review, with the underlying record counts.
Q1 · Why do we have two fields both called "Status"?
There are two separate configured picklists — Status and Court > Status of Matter.
Status:
Chase for offer, Evidence Exchange, 2nd Pre-Trial Review, 3rd Pre-Trial Review,
Disclosure, Examination, Hearing, Letter of Demand, Garnishee, Send Demands to TPI,
DSOC, Awaiting defence, PTC, DJ, Enforcement, Listed for hearing - small claims,
Listed for Hearing - general division, Chase Client for Direct Claim Number, Writ,
Defence Filed, AFCA Lodged, Awaiting AFCA Authority, Awaiting Disclosure,
Awaiting PRI, PRI Booked, PRI Completed awaiting offer, Examination Order
Court > Status of Matter:
DSOC, 2nd Pre-Trial Review, 3rd Pre-Trial Review, Evidence Exchange, Disclosure,
Examination, Hearing, Letter of Demand, Garnishee, Awaiting defence, PTC, DJ,
Enforcement, Listed for hearing - small claims, Listed for Hearing - general division,
Defence Callover, Writ, Defence Filed, AFCA Lodged, Awaiting AFAC Authority,
Awaiting Disclosure, Awaiting PRI, PRI Booked, PRI Completed awaiting offer

Q3 · "Listed for Hearing" should require a hearing date
If a matter's status is changed to Listed for Hearing – general division or Listed for hearing – small claims, we'd expect a hearing date to be entered at the same time. A number of records carry the status without one.
Listed for Hearing - general division : 5 of 75 records missing Next Listing Date
Listed for hearing - small claims : 17 of 164 records missing Small Claims Hearing Date
Missing both date fields : 5 records
Q4 · 31 PTC-family matters already have a hearing date on file
Records still sitting in a PTC-stage status already have a hearing date recorded. Either the hearing has been listed and the status wasn't updated, or the date field is being used ahead of an actual listing.
PTC : 17 records with hearing date already set
Defence Filed : 6
2nd Pre-Trial Review : 2
3rd Pre-Trial Review : 6
Total : 31
Q5 · 17 small claims hearings have no date recorded
Listed for hearing – small claims is meant to carry a value in the Small Claims Hearing Date field.
Listed for hearing - small claims : 164 total
Small Claims Hearing Date blank : 17 records
Q6 · Enforcement-stage matters are split across near-duplicate labels
The Enforcement bucket only matches four exact values: Writ, Garnishee, Enforcement, Examination. 81 records use a close variant of one of those and land in "Others" instead.
Examination order / examination order / Examination Order : 50 combined
Examination notice (all casings) : 24 combined
Enforcement - Exam Notice : 2
Enforcements - Writ for Levy : 2
Listed for Examination : 2
Total stray enforcement-like records : 81
Q7 · "Reason for listing" isn't filled in consistently
The Defence Callover bucket relies entirely on Reason for listing being set to "Defence call over (cases over 20K)" — it deliberately ignores Status, because Status isn't reliable for this.
47 records tagged "Defence call over (cases over 20K)" - their Status field:
PTC 29, Listed for Hearing 4, Defence Filed 2, Evidence Exchange 2,
Review 2, settled 1, Defence Callover (as a status) 5
Casing duplicates in Reason for listing: Review 32 vs review 4; evidence due date 15 vs Evidence due date 2
Q8 · 27 active court matters have no status at all
SOC filed date present, Status blank : 27 records
Q9 · What does status "DSOC" mean?
Not part of the documented 14-status list and not self-explanatory.
Status = "DSOC" : 74 records, all with SOC filed date populated
Q10 · Status is also being used to record settlement, duplicating Status1
Settlement is meant to be tracked on a separate field (Status1). If a matter is marked settled in Status without Status1 matching, it stays on the panel indefinitely.
Status = "settled" : 6 records
Q11 · Repair/rental workflow language is showing up in the litigation Status field
Repairs Ongoing : 2
Instalments : 2
REPAIRS SETTLED VIA DC - CLOSE OR LITIGATE RENTAL : 1
Q12 · Case notes are being typed directly into the Status field
Several values read like a free-text note rather than a picklist stage — including one with a stray double space.
need to file default judgement - client not responding : 3
to reopen the case : 1
the SOC served successfully via Process server : 1
waiting total loss report (double space) : 1
Q13 · "Notice of Discontinuance" isn't being excluded from the panel
A discontinued matter is functionally closed, the same way Settled / Closed / Cancel / Remitted are excluded — but nothing currently removes it.
Status = "Notice of Discontinuance" : 1 record, still passing the base filter
Q14 · A "Direct Claim" workflow only shows up as scattered free text
None of the seven buckets have a concept of a direct claim.
Awaiting DC number : 1
Awaiting direct claim outcome : 1
DSOC (possibly related, see Q9) : 74
Q15 · Service-of-process failures form their own small cluster with no bucket
Non service by post / Non-service by Post / Non service by Post : 3 combined across 3 spellings
Q16 · A "Category – Detail" naming pattern appears nowhere else in the list
Looks like the start of a more granular enforcement taxonomy that was never rolled out system-wide.
Enforcements - Writ for Levy : 2
Enforcement - Exam Notice : 2
Q17 · "Defence Callover" also exists as a literal Status value, separate from the Reason-based flag
Q7 showed the bucket correctly reads Reason for listing, not Status. This is the other half: 5 records carry "Defence Callover" directly as Status, independent of the 47 flagged via Reason for listing.
Defence Callover : 3
Defence Call Over : 2
Total : 5
Q18 · "Assessing liability" has at least four unmerged spellings
liability reviewing : 2
reviewing liability and request costs disclosure : 2
review (merges review/Review) : 7
Waiting for POL from CC : 2
